Policies for Our Veterinary Practice

Homeward Bound Veterinary Services has implemented the following policies and procedures to keep our practice running smoothly, as well as to best serve our patients, clients, and staff. If you have questions about any of the policies, we welcome you to contact us. Thank you for your cooperation.

Appointments are scheduled in advance. We do not accept walk-in appointments at this location. Drop-off appointments may be available for established patients in certain situations. Additional fees apply for drop-off visits.

Please arrive on time for your appointment. If you arrive more than 15 minutes late, we may need to reschedule your appointment so that we do not delay care for other patients.

We reserve a limited number of appointments each day for pets that become sick unexpectedly. These appointments are available on a first-come, first-served basis and can fill quickly. If we are unable to accommodate your pet that day, we may recommend our Urgent Care facility or another emergency hospital.

Please note, our Urgent Care location operates differently. Urgent Care patients are generally seen through our walk-in/ER Express queue rather than scheduled routine appointments. Patients are triaged based on medical urgency, so pets may not always be seen in the exact order they arrive.

If your pet is experiencing a life-threatening emergency, please call us immediately. Depending on your pet's condition, the time of day, our current patient volume, and the level of care required, we may recommend evaluation at our Urgent Care or at a 24-hour emergency/specialty facility. Critically ill patients are always prioritized based on medical need.

We understand that plans sometimes change. Please provide as much notice as possible if you need to cancel or reschedule an appointment.

Cancellations or no-shows with less than 48 hours' notice for any appointment will result in a $150 late cancellation/no-show fee.

For surgical and anesthetic procedures, we require at least 48 hours' notice for cancellations or rescheduling.

If a client has repeated missed appointments or last-minute cancellations, we will require a deposit before future appointments can be scheduled.

Payment is due at the time services are provided. We do not offer in-house billing or payment plans. We currently accept:

Visa
Mastercard
Discover
American Express
Cash
CareCredit
Scratchpay

A 3% credit card processing surcharge applies to credit card transactions. Checks may be accepted from established clients only and must be completed accurately. We cannot accept post-dated checks.

For hospitalizations, urgent care, surgery, diagnostics, and other significant treatment plans, a deposit may be required before services are performed.

A deposit is required when scheduling a surgery or other procedure requiring anesthesia, with the exception of approved rescue cases. The required deposit is generally equal to the low end of the provided treatment estimate and will be applied toward the final cost of the procedure.

Because significant staff time and resources are reserved for surgical procedures, deposits are forfeited when procedures are canceled or rescheduled without adequate notice.

Whenever practical, we will provide an estimate for recommended diagnostics and treatment.

Estimates are intended to give an expected cost range based on the information available at that time. Medical needs can change as additional information becomes available or as a patient's condition changes.

For urgent care cases, clients may be asked to review and sign an estimate and provide the required deposit before diagnostics or treatment proceed. Urgent care clients are also asked to complete our emergency treatment authorization documentation.

Please have your pet's previous veterinary records sent to us before your first appointment whenever possible. Records may be emailed to: homewardboundmobilevet@mindspring.com

If records are not available before your appointment, we may ask you to contact your previous veterinarian before certain vaccines, medications, or treatments can be provided.

If you need a copy of your pet's Homeward Bound Veterinary Services records, you can contact us by phone or email. Please allow up to 48 hours for routine record requests. Urgent transfer of records for an actively ill patient will be handled as quickly as possible.

Protecting your privacy and your pet's information is important to us. Medical records and client communications are maintained within your pet's account. We discuss financial information, medical decisions, and account details only with individuals authorized on the account.

If another person will be making medical or financial decisions for your pet, please notify us so that we can document that authorization.

Records may be sent directly to another veterinary hospital when requested for continuity of care.

We strongly believe in individualized preventive care. The rabies vaccine is required by law unless a veterinarian determines that a medical exemption is appropriate under applicable regulations. Other vaccines are recommended based on your pet's individual risk.

Dogs

  • Distemper/Parvovirus Combination (DA2PPv)
  • Leptospirosis
  • Bordetella
  • Lyme Disease
  • Canine Influenza

Cats

  • FVRCP
  • Feline Leukemia (FeLV)

Certain vaccinations are required before elective hospitalization, boarding-related services, surgery, or other procedures in which your pet may be exposed to other animals. If you have concerns about vaccinations, please discuss them with our veterinarians.

Many prescription medications, preventatives, supplements, and prescription diets are available directly through Homeward Bound or through our online pharmacy. Our online pharmacy allows clients to:

  • Buy products through a veterinarian-supported source
  • Have eligible products shipped directly to their home
  • Enroll in AutoShip when available
  • Take advantage of applicable manufacturer rebates and promotions
  • Buy many of the same trusted products offered in our hospital

Please allow at least 24 hours for medication refill requests and online pharmacy approvals. Some medications require additional time, veterinarian approval, laboratory monitoring, or an examination before they can be refilled.

Veterinary-client-patient relationship requirements apply to all prescriptions. Your pet must have been examined within the appropriate period and be medically eligible for the medication being requested.

We are happy to provide outside prescriptions. Prescriptions may be:

  • Sent to certain local human pharmacies (when appropriate)
  • Provided as a written prescription for use at another pharmacy

Please allow up to 48 hours for non-urgent written prescription requests.

For patient safety and controlled prescription tracking, we do not routinely issue duplicate prescriptions when an active prescription with remaining refills has already been provided. In many cases, the existing prescription should be transferred from one pharmacy to another.

Homeward Bound Veterinary Services may send appointment reminders, preventative-care reminders, medical updates, forms, and other communications through:

  • Text Messaging
  • Email
  • PetDesk
  • Telephone

Clients are responsible for keeping their phone number, email address, mailing address, and other contact information current.

Electronic reminders are offered as a convenience. Clients remain responsible for keeping track of their pet's appointments, medications, vaccinations, etc., even if a reminder is not received.

You may request changes to your communication preferences at any time.

Clients may receive PetDesk pre-exam forms before scheduled appointments. We encourage clients to complete these forms before arriving. They are used by our team to review important history ahead of time, significantly improving appointment efficiency.

Please make sure all information submitted, including your address, telephone number, pet information, medications, and medical history, is accurate and up to date.

Our team is committed to treating every client and patient with kindness, compassion, and respect. We expect the same courtesy toward our staff, other clients, and patients. We do not tolerate:

  • Threats
  • Harassment
  • Discriminatory / Abusive Language
  • Verbal or Written Abuse
  • Physical Intimidation or Violence
  • Abusive Behavior by Telephone, Email, Text, Social Media, or In Person

If a person's behavior creates an unsafe or hostile environment, we reserve the right to end the interaction and, when appropriate, discontinue the veterinary-client relationship and ask the client to seek care elsewhere. Threatening or dangerous behavior may also be reported to appropriate authorities.
